The math behind the hours

One worker losing 20 hours a week at £35 an hour is 20 × £35 × 52 = £36,400 recovered a year, about £3,033 a month. On a typical build that pays for itself by break-even week 10. Multiply across a team and the case grows quickly.

A worked example (yours is above).

What this tool does

Most teams sense that repetitive admin is costing them, but rarely stop to size it. This calculator turns that hunch into a figure. You give it five inputs about your team, and it returns the annual labour you could recover, your net return in year one, the week the investment breaks even, and the value built up over five years. It runs entirely in your browser, nothing is sent or stored, so you can experiment freely.

How the maths works

The model is deliberately simple, so you can sanity check every figure yourself:

  • Annual labour recovered is employees multiplied by hours saved each week, multiplied by the hourly cost, multiplied by 52 weeks.
  • Year one net return takes that annual figure and subtracts the one time build investment plus twelve months of running cost.
  • Break even week divides the build investment by the weekly net recovery, rounded up to the next whole week.
  • Five year value is five years of recovered labour, less the build and sixty months of running cost.

The result is an illustrative estimate, not a quote. It assumes the recovered hours are genuinely redeployed to valuable work, which is exactly the conversation worth having once the numbers look promising.

Who it is for

It is built for owners and operations leads weighing up whether automation or custom software is worth the spend. If your team loses hours every week to copy and paste, chasing updates, rekeying data between systems, or building the same report over and over, this gives you a defensible number to take into that decision, whether you build with us or not.
